This section covers how to create multiple profiles to allow multiple users to login to Outlook on the same PC, and an example of how to setup Outlook to access an external ISP account

How do I set up access to additional University accounts?
- Select Start | Settings | Control Panel | Mail
- The Mail Setup window will open. Select Show Profiles...
- The Mail window will open showing your current Mail profiles. Select Add to add a new profile.

- The New Profile window will open. Give this new Outlook profile a name and select OK.

- The E-mail Accounts window will open. Under E-mail, select Add a new e-mail account if not already selected. Click Next.

- Select Microsoft Exchange Server as the server type. Click Next.

- In the Microsoft Exchange Server: field, enter:
outlook.liv.ac.uk
- Un tick Use Cached Exchange Mode
- In the User Name: field, enter the username of the account you are creating, followed by an @. Select the Check Name button to verify this username is correct. This will then prompt you for the username and password for this account. You must enter then enter the username in the format username@liverpool.ac.uk
- Once verified, the username will be converted to the user's Last name, First name and will become underlined. Click More Settings.

- Click on the Security option tab
- Ensure that the Encrypt data between Microsoft Office Outlook and Microsoft Exchange Server is ticked. By default this option should be ticked and greyed out.

- Click on OK
- Click on Next
- Click on Finish to complete the creation of a new profile.

- Select the option Prompt for a profile to be used
- Click on OK

How do I access my ISP account?
In this example a POP connection will be setup to access an ISP account.
- Select Tools | Email Accounts from the menu bar
- Select the option Add a new e-mail account, and click on Next
- Select the POP3 option, and click on Next

- Type in the name and email address for the ISP account in the Your Name and E-mail Address boxes
- In the Incoming mail server (POP3) box type in the appropriate server for your ISP
- In the Outgoing mail server (SMTP) box type in mail1.liv.ac.uk
- Type in the username for the ISP account into the User Name box
- If you don't want to be prompted for the account password every time then type in your ISP password into the Password box, and tick the Remember password box
- DO NOT tick the Log on using Secure Password Authentication (SPA) box
- Click on the More Settings button

- Under the Outgoing Server tab select the option My outgoing server (SMTP) requires authentication
- Select the option Log on using, and enter your University of Liverpool username in the User Name box
- If you don't want to be prompted for the account password every time then type in your University of Liverpool password into the Password box, and tick the Remember password box
- Under the Advanced tab tick the This server requires an encrypted connection (SSL) box for the Outgoing server (SMTP)
- Click on OK, then click on Next, and finally click on Finish to create the new account
- Any emails now sent to your ISP account will appear in your INBOX alongside your University email
- If you ever wish to send emails from this ISP account then when composing an email you need to click on the Accounts button (as highlighted in the image below) and select the name of the account from the drop-down list. When the email is sent the name in the From field will be that of the secondary account

- At the options screen change the Select signatures for account option to the account that you want, and then choose the required signature in the Signature for new messages, and Signature for replies and forwards boxes

How do I set up Outlook to prompt me for a profile to use?
- Close Outlook
- Go to Start | Settings | Control Panel | Mail
- Select Prompt for a profile to be used so that when you start Outlook you can easily select which profile you want to load.
- Click OK.
- Start Outlook again.
- When you open Outlook you will be asked to choose the profile you wish to have Outlook run. Do this by selecting it from the drop down menu and then select OK.
